    GPS Email #3, Volunteers & Hospitality

    Dear Swim Team Families,

    As we prepare for the 2026 swim season, we are reaching out to share this year's volunteer and hospitality requirements. These obligations are adjusted annually based on team enrollment and our meet schedule.

    To ensure our meets run smoothly and safely, please review the requirements for your swimmer's team below.

    Competition Group Requirements

    • Dual Meets: Each family must complete at least 2 volunteer shifts (but really more than that) across our 7 dual meets and donate at least 2 hospitality items.
    • GPS Invitational: All participating families (those with swimmers attending the meet) must complete at least 1 volunteer shift and donate at least 1 hospitality item.

    Developmental Group Requirements

    • Dual Meets: Volunteering and donations are not required. If your swimmer moves to the competition group early in the season (first few meets) please refer to the competition group above. If later in the season (last few meets), these requirements remain optional, though any support is greatly appreciated.
    • GPS Invitational: If your swimmer moves up during the season and participates in this event, you must complete at least 1 volunteer shift and donate at least 1 hospitality item.

    Note: Families with swimmers on both groups must fulfill the competition group obligations.

    Signup Policies & Deadlines

    • Deadlines: Job and hospitality signups close the day before each meet. You may modify or delete your selections in SwimTopia until this time.
    • Late Changes: If you must cancel after signups close, please contact Jennifer Vasquez (Secretary) for volunteer shifts or Natasha Harrison (Hospitality Coordinator) for donations. Contact info on the team website: Contact Link (must be signed in to view this page).
    • Important Distinction: In SwimTopia, donations are listed under "Jobs," but hospitality donations do not count toward your volunteer shift total.

    Why Your Help Matters

    We have 73 families that must fill 186 volunteer roles for this season's dual meets alone. Given our current team size, this averages out to 2.5 shifts per family to fully staff our events. So, we require 2, but really 3 is better, and will probably be 4 for some just based on the randomness and combination of which families attend a dual meet. PLUS, this is not even counting the GPS Invitational, the Last Chance Meet, and League Championships, or even our end-of-season awards banquet. If your swimmer is at those meets, you should be volunteering. 

    Please do not opt out of volunteering for convenience. Running short on volunteers means swim meets do not start on time, kids will miss opportunities to swim, and swim meets will run much later into the evening. Failure to fulfill your family's volunteer requirements will result in a $75 fee, and the coaches may not allow kids to participate in a meet if a family chooses not to help at the meet when they clearly can.

    Also, even though mathemtatically it works out for two family volunteer obligations for dual meets, obviously this does not always work in reality. There DEFINITELY will be times when most of the families attending a meet already completed there two obligations, and there are not enough families who did not, to fill the remaining spots to run the meet. As a result, please be willing to help out and at least be a timer if/when we find ourlselves in that situation. After all, this sport is a true community and team effort and meets cannot run without everyone's help.
